Automate supplier follow-up calls with ChatGPT or Claude

A shipment update should not take a morning of phone tag. Give your AI the supplier's number and the questions you need answered. Patch handles the conversation while you work, then brings back the order status and next steps.

Gather the details before calling

Ask for facts you can use

Call [business name] at [their actual phone number with country code].
I'm [your name]. Ask whether order #482 has shipped, whether all 24 units
are included, and the expected delivery date. Do not change the order
or agree to any extra charges. If they need information you don't have,
ask what is missing and report back.

For an overdue shipment, also ask for the carrier, tracking reference and revised delivery estimate. If the order has not shipped, ask what is holding it up and when the supplier expects to have an update. Let the assistant collect information before you decide what to change.

Example: follow up on a late shipment

Call [supplier] at [phone number with country code] about order [reference].
I'm [name] from [company]. Delivery was expected on [date]. Ask whether
the order has shipped. If yes, get the carrier, tracking number and
revised delivery date. If not, ask what is delaying it and when they
expect to ship. Do not change the order or accept extra charges.

Example: check a partial delivery

Call [supplier] at [phone number with country code] about order [reference].
I'm [name] from [company]. We ordered [quantity] of [item], but received
[quantity] on [date]. Ask whether the remaining items shipped separately,
and get their tracking number or expected ship date. Report any proposed
substitution or refund to me without agreeing to it.

Turn the answer into a next step

An illustrative result might be: “Order #482 shipped this morning with all 24 units. Delivery is expected Thursday by 5 pm.” Check whether those are confirmed facts or estimates, and whether the supplier made a commitment to follow up. If the information is incomplete, use the missing details to decide your next question.

Read the answer, then check the details

Patch returns a call status and a structured result: a summary, key facts, commitments and follow-ups. Your AI can retrieve these with get_call. A completed call also has a transcript and, when available, a recording. The recording can take a little longer to finish processing.

A connection does not guarantee that someone answers or that the request succeeds. If the outcome is partial, unanswered or unsuccessful, review it before asking for another call. Your call history and live-listen link let you check what actually happened.

Keep control of changes and commitments

Tell the assistant to report back if it encounters a price change, missing authorization or an unexpected substitution. Do not assume a connection authorizes recurring follow-ups: each call needs a specific request. Calls show your verified number, so a supplier can call you back.

See the 30-second product demo, then connect with ChatGPT or Claude. Use the transcript to review an uncertain answer rather than assuming a call completed successfully.

Start with 5 free US/Canada calls. Both your verified number and the destination must be US/Canadian, and each free call can last up to 5 minutes. Calls involving other numbers need a paid plan. See current plans and usage details.
